Free Resignation Letter Template — Professional, Polite, Polished

How you leave a job often matters more than how you joined it. A clean, professional resignation letter protects your reference, your reputation, and your final paycheck. Here are four free templates — and the rules every resignation should follow.
The 5-line resignation letter that always works
Dear [Manager],
Please accept this letter as formal notice of my resignation from my position as [Title], effective [Last Day — usually 2 weeks out].
I'm grateful for the opportunities and growth I've experienced at [Company]. I'll do everything I can to make the transition smooth, including documentation and handover for [Project / Role].
Thank you for your support. I wish you and the team continued success.
Sincerely, [Your Name]
Template 2: Immediate resignation
Reserved for unsafe, unethical, or otherwise untenable situations. Keep it short, factual, and unemotional. Avoid airing grievances — that's what an exit interview or formal complaint is for.
Template 3: Retirement
Allow 30–90 days notice (most pension administrators require it). Include thanks, key dates, and a willingness to mentor a successor.
Template 4: Career change
Frame the move as a positive next step rather than a flight from the current role. Mention what you've learned and how it will serve you next. Keeps the door open for boomerang opportunities.
